Before printing sheets of address mailing labels on your printer for the first time you must specify their dimensions. This has to be carried out only for each label type you use.

From the Env/Label form:

• Tick the Labels option button. This will enable the mail label Setup command button.

• Click the Setup button.

• Enter the size, number of columns, etc in the fields provided. When finished, click continue.

• TIP to save labels and time. Always Preview Print to test after changing any settings. To avoid wasting expensive sheets of labels you should always test the output using the "Preview before Printing" to determine if the output looks reasonable. Check to see that the number of rows and colums in the onscreen preview is the same as you specified in the label setup.

• When you are happy with the onscreen preview, print a test page on standard paper,(A4 or USLetter) whose dimensions are the same as the sheets of labels. Check that the exact result required has been attained. This can be achieved by overlaying the printed test page with a sheet of address labels and holding them up to the light. The locations of all addresses should fall within the boundaries of the labels and be reasonably centered. If not, re-measure the labels and re-enter. It is a good idea to use millimeters to specify dimensions as it is difficult to specify small quantities in inches. (1 inch = 25.4 mm) If there is a systematic shifting of the addresses up (or down) the page for successive rows or columns of labels it is likely that the height or width you entered is too large (or too small). Experiment by reducing (or increasing) the height entered by a few mm. Never print a sheet of labels until you are certain that the printed output will align with the actual labels. Always test with paper of the same dimensions as your sheets of labels.

• If addresses are truncated you could try changing the font size and/or style. Note: If only a small proportion of labels are truncated it would be better to modify the corresponding addresses so that they do fit. This can be achieved by using abbreviations, etc, without compromising their information content. If this is not possible, and a change of font does not remedy the truncation, you should consider using a larger label.

• Sheets of labels without column spacing : Even if your labels do not have spacing between columns it is a good idea to specify 5mm for this dimension. This prevents the label text shifting to the left for successive columns.

• Small labels (e.g. Avery 3X11) can be very difficult to align. Use the column spacing and the top margin to shift the labels right and down respectively. Using the text shift right and/or down property can cause the labels to be truncated, especially if addresses have 5 lines. The last line may not be printed.

When previewing you can elect to print a single page only using the Print Pages toolbar option.

Tip: You should never put labels through your printer a second time as the possibility of a label getting stuck on a roller increases which can be extremely costly to remedy.
