Entering New Inventory records
Previous Topic  Next Topic

Use the New button (Alt^N) to enter a new record. Enter the start of the title when prompted. An automatic search is carried out to determine if there are any existing entries having a title matching the one you entered. If there are matching records you can view them or if you wish, ignore them, and enter a new record.

When entering a title a match will be found only if all characters match the start of an existing entry. To maximize the possibility of matching it is best to enter only the first 10 or so characters. As a rule of thumb, enter as few characters as possible but sufficient to uniquely match the desired item, otherwise too many matches will be returned. For example, entering the word The will probably match with a large number of records. Entering The Ox will return all books with titles such as The Oxford Dictionary etc which may be what is required. Entering The Oxford Dictionary may return no matching records if any of the words are misspelled in either the search text you enter or in the text in any existing records.

When entering new records great care should be taken to record as much detail about the item as possible as this information will be used for many years to come. Incorrectly entered data will be more difficult to retrieve, even though Bookmine provides a very versatile query engine for rapid retrieval of records based on text or numbers in any part of any field.
