Configuring Messaging
Before you can send and receive messages (emails) you have to configure InfoMine with the details required for connecting to the Internet from your computer, via an ISP (Internet Service Provider) or via a Proxy Server on a LAN. In addition you supply details for connecting to your mail account or accounts on the mail server you use to send and receive messages.
The main Messaging form can be called up from the Main Switchboard, the Contacts, the Stock form and several other locations
To setup email you will (1) tell Bookmine how you connect to the Internet and (2) specify the details of the external email account you use to send email and receive email from. This latter is set up in one or more Profiles, as described below.
From the main Messaging form Click the MAIL AND INTERNET OPTIONS or use the SET MESSAGING OPTIONS button in the User Options from the Main Switchboard section of InfoMine.
Click the Initialize Messaging folders command if they are not already set up.
(1) Setup connection to the Internet.
At 1A tick either Connect via Dial Up or via ADSL. If you connect via dialup you have to select the connection to use at 1B. The preferred way to connect to the Internet and send and receive email is via a permanent connection (ADSL, Cable etc)
If connecting via dialup: SELECT AN ACTIVE DIAL UP CONNECTION – select the dialup connection you want to use to connect to the Internet. If none are available on your system you should set one up before continuing. If you already connect to the Internet to access message or web sites this should already be setup on your system. The dial up connection to use can be changed at any time as required.
(2) Setup a Mail Profile
MODIFY/CREATE MAIL PROFILES - You can setup multiple mail profiles to make it easier for you to send and retrieve mail under different identities (for instance, if you have more than one mailbox on the same or several servers) or from different geographical locations (i.e. when you travel to another city you can still access your standard mailbox, using a local dial up number from that city). To create a new profile type in a new profile name at 2. You are warned that this is not an existing profile. Agree to create a new one.
Click on the Modify/ Create Mail Profiles button to modify an existing profile. You are presented with a form to specify the details of your POP and SMTP mail account.
You can elect to use a standard POP/SMTP setup, or use Avirt Drop Box. The latter uses the Avirt Mail server which provides an intermediary drop box for sending and retrieving email.
Infomining recommends that you use Avirt Mail drop box mode to actually send and receive email. It is more robust than using the POP/SMTP direct mode.
Configure Bookmine to use Avirt Drop Box:
See setting up Avirt Drop Box.
Select a mail profile to modify or create a new one by entering a new profile name.
When the profile screen opens select the “Use local Drop Box for send/Receive” option for sending/Receiving email.
Fill in the required fields at 2a and 3.
When you set up Avirt Drop Box it will have created two folders under ..Program Files\Avirt\Mail\Mailbox folder called bookmine (or whatever you called the user account when setting up Avirt for incoming mail) and SMTPOut. When configuring a mail profile in Bookmine to use Drop box mode you select these folders as the Drop box POP and SMTP entries at 2b.
(Note: Before selecting the drop box folders folder in Bookmine’s mail setup make sure to share the top level Avirt folder (i.e. share the folder ..Program Files\Avirt\ making sure all users have full write access to it). This ensures it can be seen and modified on your LAN. This will enable other computers running Bookmine to see and use the drop boxes. You can reselect these within bookmine at any time after you share them.)
Configure Bookmine to use standard POP/SMTP direct (Avirt Drop box mode is recommended. See above)
Note: This is an alternative to using the Avirt drop box method.
Select the mail profile to modify.
When the profile screen opens select the “Use standard POP/SMTP” option for sending/Receiving email.
Fill in the required fields at 2a and 3.
Enter the host address, username and password for your POP host.
Enter the host address, username and password for your SMTP host.
There is also a General information section which you must complete by entering the email address and organisation name which you wish to appear as the From Address on all outgoing emails. Note: outgoing emails are stamped with the From Address of the profile that is active when messages are actually sent, not when they are composed.
ALL FIELDS MUST BE FILLED IN. When you are happy with the entries click the OK button.
Active Mail Profile
Bookmine can use any of the mail profiles you setup. The profile that will be used is the one selected as the “Current Active Mail profile”
SELECT AN ACTIVE MAIL PROFILE –from the list of profiles you have created, choose the one you wish to be active for sending and receiving emails. Note: the profile that is used to stamp the From Address on all outgoing messages is the one that is active when messages are actually sent, not when they are composed.
Note: Sending mail from another ISP or Server.
Typically you will send and receive message using the same Server (even if they have slightly different names) that you connect to the Internet via. Your username and password for accessing your mailbox will most likely be the same as that used to log on to your ISP or proxy server.
However when travelling it may not always be possible to connect via your normal ISP or proxy server. The solution is to use an ISP that has local dialup access. Downloading emails in this situation does not require you to change the POP host entry but sending emails via your normal ISPs SMTP host will most likely not be possible.
InfoMine can be configured to use SMTP and POP accounts that are not located on the same server. If, when you are connecting to the Internet via another ISP, you get a message “Cannot relay emails from remote host” you have to set up the SMTP entries in the Mail profile to access the SMTP server of the ISP you are connected to the Internet via. Enter the host name, user name and password for the SMPT server of the ISP you are connected via. You can now use this new profile anytime you travel and connect via this ISP.
